The successful candidate will manage all accounting and fiscal activities of the academic department; serve as department Fiscal Officer; prepare monthly financial statements for research accounts and general fund accounts; monitor account balances; provide information to meet reporting requirements.
Will develop budget projection reports, prepare budget reallocations, cost transfers, and monitor funding changes for personnel.
Duties/tasks include
Assist with college level processes such as overhead credit, year-end procedures, carry forward, budget preparation and planning
For new accounts, create sub-accounts and set up delegates for KFS and PCDO
Develop reports including budget projections and serve as point person for troubleshooting account issues
Review/approve transactions, look for sub-accounts, verify that funding is available
Prepare, review, verify accuracy of financial statements/reports, grant budgets, general journal accounting entries to reconcile with unit records and university account ledgers.
This will include monthly reports for PIs, year end summaries, and special reports as requested
Organize and evaluate work of current Office Assistant IV position (orders, p-card transactions)
Responsible for all error corrections and budget reallocations as well as expense adjustments
Develop, implement, oversee accounting controls
Fiscal management of all unit accounts including general fund, grants, cash, gift, and endowment accounts
Track commitments from 4 major administrative units, incoming and outgoing, start-up accounts, and any commitment of funds to faculty
Request and monitor start-up accounts
Process sub-award payments on grant accounts
Set up delegates, track effort reports and monitor for accuracy (accounts/percentage), verify all reports are certified
Pre-award tasks – revise budgets to match awards, route PD when appropriate
Determine cost redistribution actions and process, or notify staff as appropriate for processing
Conference management – create store front, set up website in Eventbrite, monitor registrations and sponsorships, process refunds, send invoices/receipts, deposit registration payments
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Accounting; three to five years of related and progressively more responsible or expansive work experience in supervision, accounting procedures and developing accounting controls, policies and procedures; or an equivalent combination of education and experience.
Desired Qualifications
Previous experience in an academic unit; previous experience in financial management including planning, forecasting and budgeting.
Proficiency with EBS, Kuali, and Query Studio.
Understanding of financial accounting principles and standards.
Advanced Excel, pivot tables.
