Essential Functions:
Manages weekly check run to ensure, they are signed and mailed according with company policy
Record and reconcile utilities, subscription account bills, vouchers, etc.
Receive and records vouchers, cash, and check deposits.
Enter all CC transactions
Respond to any vendor inquiries
Assist staff accountant with reconciling AR monthly
Process payment batches, daily
Assist in month-end closing, year-end closing, and annual audits
Monitor and order office supplies as needed
Post payments to customer accounts
Matches purchase orders and receipts to invoices.
Identifies errors or discrepancies and resolves them before processing
For non-purchase order invoices, obtain correct documentation,
Identify and correct unauthorized purchase order (PO) and bills, coding errors, duplicate bills, missing bills, differences, and any overcharges.
Maintaining historical records of all invoices, reports, receipts, and checks by saving documents properly on the network via a paperless filing system.
QUALIFICATIONS FOR AN ACCOUNTING ASSISTANT
Experience preferred and general knowledge of the AP/AR function
Working knowledge of the general ledger and its relationship to financial statements
Working knowledge of QuickBooks, Microsoft 365
Excellent Excel understanding, manipulation and skill
Ability to work cohesively with management, and other staff
Strong organizational skills, and attention to detail
Ability to work independently, and as part of a team
Excellent verbal and written communication skills
Good problem solving skills
Good knowledge of basic accounting concepts
Ability to be trained, experience is helpful but ability to learn and adapt is key
