The Office Coordinator assists the Executive Director with hiring and onboarding of new staff.
The Office Coordinator must be knowledgeable about the Center’s policies and procedures, licensing requirements, basic hiring practices and when needed the ability to communicate them to parents and the public when called on to do so.
The Office Coordinator reports directly to the Executive Director.
This is a administrative position and as such, includes responsibilities related to the classroom, Center and community.
The following is a list of specific areas of responsibility for this position.
It is understood that some factors which affect the quality of a teaching program may not be quantifiable or possible to clearly define.
Therefore, this list may not be all-inclusive; specific duties may vary according to the needs of the program.
Other duties and tasks may be assigned.
It is expected that professional staff members maintain a balance between professional and personal attitude, which is conducive to a long-term commitment to the profession.

*Qualifications* * College level coursework preferred.
A minimum high school diploma is required with two years experience with customer service and office management.
* Experience in early childhood education including the following: State of Michigan Department of Human Services Childcare Licensing Rules and Regulations ▪ Understanding classroom ratios for scheduling purposes ▪ Staff record retention ▪ Child record retention * Human Resource Experience o Recruitment and hiring of staff, with primary focus on part-time o Onboarding of new staff, including new hire paperwork o Staff record retention (state and federal requirements) o Scheduling of workers * Ability to: o Establish warm, supportive relationships with children and adults o Develop and maintain friendly relationships with staff and Center families o Thrive within a team-oriented environment o Problem solve using critical & resourceful thinking skills *Responsibilities related to working with Administration and Office Staff * * Work in collaboration with the Administrative Staff to ensure proper coverage for opening and closing the building * Scheduling the staff to ensure proper coverage of the building * Serve as Building Administrator in the absence of the Executive Director, Assistant Director, or Teacher Support Coordinator * Communicate with Center families and staff to include: maintaining polite, friendly relationships with Center families; answering staff and parent questions; giving Center tours to prospective families * Provide staff support and relief as needed * Maintain confidentiality regarding staff, family, child and administrative information * Work with the Assistant Director to plan and facilitate new staff orientations and staff trainings * Work with the Executive Director in the ordering and management of classroom supplies and materials * Work with and support the Executive Director and Assistant Director, as needed, with parent orientations, licensing, staff training, and special projects or events * Attend and participate in staff meetings and trainings * Assist and support the Executive Director and Assistant Director in the planning of special events o Support in arranging for parent volunteers, as needed *Responsibilities related to new staff onboarding* * Respond to employment and volunteer inquiries * Schedule interviews, post and advertise positions as needed * Prepare new hire and training packets for new employees * Coordinate all new employee and volunteer paperwork processing; distribute as needed * Complete background checks, DHS clearance checks and reference checks on all employees prior to their hire date * Administering and assigning the semester work schedule to all staff and ensuring proper ratios on a daily basis * Staffing for all absences and vacations * Maintain employee rosters, sub-lists and availability schedules as requested * Maintain personnel files * Ensure benefit packets are distributed when applicable Responsibilities related to families and children * Child record retention (works alongside our Teacher Support Coordinator) *Other duties as assigned* *Compensation:* * A competitive salary and benefit package is available.
